Gas Cylinder Rental/Return

We encourage you to use the Central Storehouse Compressed Gas Cylinder Program.  Cylinders are tracked by serial number, reducing the chance of loss, with no invoice to pay, and delivery is generally available within 1 to 2 calendar days!


Renting Gas Cylinders

Compressed gas cylinders are available via the Central Storehouse catalog in AggieBuy:

  1. Log in to AggieBuy.
  2. Click on the Central Storehouse link from the Campus Services menu.
  3. On the next screen, click on the Hosted Catalog Search button.
  4. Enter the type of gas you are searching for (e.g., oxygen) in the search field on the left side of the ordering screen.
  5. Click the Go button. 
  6. After locating the desired item, enter the requested Quantity, and accounting information, including COA (Chart of Account) and Account Number.
  7. Click Add to Shopping Cart.
  8. Repeat steps 4 through 7 for each gas requested. 
  9. Click the Place Order button.  The order will route to the fiscal officer/account delegate(s) assigned to the account for review/approval, and will then route to the Central Storehouse staff for order fulfillment.

 

If you can't find the gas(es) you are looking for:

  1. Click on the Gases option under the Special Orders option on the left menu. 
  2. In the Item Description field, enter a full description of the type(s) of gases requested. 
  3. Enter the Order Quantity, COA (Chart of Account) and Account Number
  4. Click Add to Shopping Cart. 
  5. Click the Place Order button.   The order will route to the fiscal officer/account delegate(s) assigned to the account for review/approval, and will then route to the Central Storehouse staff for order fulfillment.

Gas Cylinder Delivery and Receiving

To ensure that gas cylinders are appropriately recorded and ready for department delivery, Central Storehouse staff complete the following steps:

  1. Highlight cylinder tank serial numbers with permanent markers.
  2. Affix cylinder with a shipping label showing the Central Storehouse order number, catalog number, ordering department’s name and order initiator’s name.
  3. Deliver cylinder to the customer’s receiving area, and a departmental customer representative signs the delivery manifest as an acknowledgment of receipt. Note: Upon prior written request by the customer department, cylinders can be left without a customer signature, but the customer department assumes all risk for missing cylinders following such deliveries. School of Medicine (SOM) cylinders are delivered to Tupper Hall Receiving for distribution by SOM staff.

Departments must secure cylinders in accordance with Environmental Health and Safety Net # 60. A packing slip and list of serial numbers is left on the cylinder or placed in a convenient location by Central Storehouse staff for the department to retrieve and route as needed.


Storehouse Cylinder Demurrage

Demurrage (daily cylinder rental fee) begins the date of delivery and ends the date the cylinder is returned to the Central Storehouse:

  • Cost for 31 days in a month is $6.82 per month OR $.22 per day
  • Cost for 30 days in a month is $6.60 per month OR $.22 per day

Returning Empty Gas Cylinders

  1. Log in to the online Cylinder Return Request Form, using your campus login and Kerberos password.
  2. The form has up to seven cylinder return sets. Indicate the type of cylinder(s), the number of cylinders for that type, and the serial numbers. There is also a description field for Customer Owned or Buy Out returns.
  3. Once all cylinder information is entered, scroll down to the bottom of the screen where additional comments can be entered.
  4. When the form is complete, click the Submit Request button.
  5. A confirmation page will display, with details of the return request.  Please print out two copies of the page and attach it to your cylinders.  You will also receive an email confirmation of your request for your own records.
  6. Upon cylinder pickup, the Central Storehouse delivery driver will sign one of the copies attached to the cylinder(s), leaving it for the department records, verifying the pickup time and date. The other copy will be returned to the Central Storehouse to stop the cylinder demurrage.
  7. You will receive an e-mail confirmation when the return has been recorded.

An online lookup is provided, so you can review your previous requests and their status. Clicking on the request number for any of your requests will take you to the details.
