Receiving for Conferences and Events

Central Receiving can be utilized by suppliers who wish to have items sent to the campus in preparation for a conference.  

Central Receiving is Your Go-To Location for Incoming Deliveries

Packages can be mailed to the Hopkins Services Complex and picked up in advance of on-campus conferences, but no more than two weeks prior to the event (items stored in excess of two weeks may incur a charge). 

  1. Before packages are shipped to Central Receiving, the hosting event department is to provide a list of suppliers/contact information to Central Receiving, along with the timeline of the event (i.e. start and date/time) and event contact information.
  2. Suppliers are to use the addressing information/template to attach to incoming conference packages, which includes their UC Davis vendor code and vendor name.
  3. As packages are received by Central Receiving, the items can either be will-called or delivered to campus departments via Mail or Special Services (depending on package size, a fee may apply).  Be sure you arrange for delivery of the packages in time for your event.

Other Considerations

If Special Services is hired for delivery/conference set-up, the following information is to be clearly communicated:

  • Outline of duties
  • Timeline for delivery/setup/pick-up of items
  • List of exhibit locations and booth numbers for each supplier (i.e. location map)

Be sure you have a plan for getting items picked up after the event, including who will pick up the items, and where they will be delivered.


Items Should Not Be Shipped Directly to UC Davis Conference Facilities

Conference facilities, such as the UC Davis Conference Center and the Activities and Recreation Center cannot be used as a receiving location for materials you need for a conference.  Those facilities do not have the staff and resources to assist with receiving.
