AggieExpense: Attaching Documents

This page provides instructions on attaching documents to your AggieExpense reports.

Attach Images to the Expense Report or an Expense Entry

To upload and attach local images to individual expense entries:

  1. With the report open and the expense open, click Upload Receipt Image.
  2. Click Upload Receipt Image to find an image from your local computeror click Attach on the attachment that has already been uploaded to the profile. 
  3. Click on Save Expense
  4. To attach additional images, click Append. 
  5. To delete images, click Detach. 

Or

  1. After the expense line has been added, click on the image under Receipt
  2. Click Upload Receipt Image to find an image from your local computeror click Attach on the attachment that has already been uploaded to the profile. 

Attaching supporting documentation to the trip or event. This may include, meeting agenda, conference invitation, etc. 

  1. Click on Manage Receipts
  2. Click on Manage Attachments from the drop-down
  3. If receipts are already attached, click on Append to add additional images. If no receipts have been added, click on Upload Report Level Attachment. Select the appropriate image from your local computer or the profile. 

Missing Receipts

If a traveler or event coordinator has lost a required receipt and is unable to obtain a copy, then the Declaration of Missing Receipt form is required. 

  1. With the report open, click on Print/Share
  2. Select Declaration of Missing Receipt from the drop-down menu
  3. Complete the form and attach to the report

File Types and Limitations

  • The available file formats are: PNG, JPG, JPEG, PDF, TIF, OR TIFF
  • Size limit: 5MB
