Some food purchases are acceptable outside of Travel and Entertainment policies.
These include but not limited to:
- Coffee, tea, sugar
- Other general use supplies purchased through AggieBuy or with a Procurement Card.
The acceptability of a food purchase outside of Travel/Entertainment depends on the business purpose of the food purchase. An acceptable food purchase would include:
- Research Supplies: the food purchase is acceptable in AggieBuy. If not available in AggieBuy, supplies can purchased on a Procurement Card. These are generally food items for research, not for consumption, but for study.
- Common Area: such as a waiting room for customers or patients, or for a common work space, such as a break room, the food purchase is acceptable in AggieBuy. If not available in AggieBuy, supplies can purchased on the Procurement Card or Travel and Entertainment (T&E) Card.
An unacceptable food purchase would include:
- Specific Event: for example, an event for incoming graduate students, reception for donors, it should not be purchased in AggieBuy or on a Procurement Card. In this case, it’s generally considered “entertainment,” and the entertainment policies and procedures should be followed.
